This Privacy Policy ("Policy") explains how Konnectify, LLC ("Konnectify," "we," "us," or "our") collects, uses, and protects information through: (i) our AI receptionist services that answer and manage calls ("AI Receptionist Services"), (ii) outbound SMS messaging and AI-powered phone calls sent on behalf of Subscribers ("Outbound Communications"), (iii) subscriber dashboard, software, and applications ("Dashboard"), (iv) AI Insights analytics and benchmarking services ("AI Insights"), and (v) konnectify.com and other websites we operate ("Website") (collectively, the "Services").

BY USING OUR SERVICES IN ANY MANNER, YOU CONSENT TO OUR PRIVACY PRACTICES AS DESCRIBED IN THIS POLICY. If you do not agree with this Policy, do not access or use our Services.

This Policy applies only to Konnectify's data practices. This Policy does not apply to our Subscribers' collection or use of personal information through our Services or otherwise. Callers and Recipients of outbound communications should contact the business that initiated the communication for privacy support regarding that business's data practices.

Konnectify may update this Policy at any time without prior notice. Continued use of the Services constitutes acceptance of any updated Policy.

1. DEFINITIONS

  • "Subscribers" means businesses and individuals that use our AI Receptionist Services and related offerings.
  • "Callers" means individuals who contact our Subscribers and interact with our AI Receptionist Services.
  • "Recipients" means individuals who receive outbound SMS messages or AI-powered phone calls sent on behalf of our Subscribers.
  • "Personal Information" means information that identifies, relates to, or could reasonably be linked to a particular individual, including:
    • Identifiers (name, email, phone number, address)
    • Sensitive information (voice recordings, precise location, health information, message contents)
    • Commercial information (products/services purchased, transaction history)
    • Internet activity (browsing history, usage patterns)
    • Inferences drawn to create profiles about preferences, behavior, or characteristics

2. INFORMATION COLLECTION AND USE

Information from Subscribers

Account Information: When Subscribers register, we collect business information including name, email, phone number, and other identifiers necessary to create and manage accounts.

Business Configuration Data: Subscribers provide information about their business operations, employee details, and configuration preferences to customize AI Receptionist Services.

Authorized Data Sources: Subscribers authorize Konnectify to collect data from their websites, online reviews, CRM systems, calendars, and other sources to train and optimize their AI Receptionist.

Transaction Data: We collect information about Services purchased, subscription details, and payment history (processed through third-party payment processors).

Usage Data: We collect data about how Subscribers use our Services, including dashboard interactions, feature usage, and performance metrics.

Outbound Communication Data: When Subscribers use our Outbound Communications services, we collect and process:

  • Recipient contact information (phone numbers, names) provided by Subscribers
  • Message content and communication preferences configured by Subscribers
  • Communication templates and business scripts
  • Delivery status, response data, and interaction records
  • Opt-out requests and communication preferences

Information from Callers (Collected on Behalf of Subscribers)

Call Information: Our AI Receptionist Services collect caller contact information, conversation content, and any personal information Callers choose to share during interactions.

Voice Data: The AI Receptionist technology collects and analyzes caller voice data to understand requests, generate appropriate responses, and determine when human intervention may be necessary.

Appointment and Service Data: When Callers request appointments or services, we process their information to fulfill these requests through our Subscribers' systems.

SMS Communications: With caller consent, we may send SMS messages containing appointment confirmations, directions, or other information as configured by Subscribers.

Information from Recipients of Outbound Communications

Contact Information: We process Recipient phone numbers and names as provided by our Subscribers for delivery of outbound SMS messages and AI-powered phone calls.

Interaction Data: We collect information about how Recipients respond to outbound communications, including:

  • Response messages and conversation content
  • Call duration and interaction patterns
  • Voice data during AI-powered phone call conversations
  • Opt-out requests and communication preferences
  • Delivery confirmations and engagement metrics

Consent Records: We rely on our Subscribers' representations that they have obtained appropriate consent from Recipients. We do not independently verify consent but may process opt-out requests.

Call Recordings and Transcripts

Recording Notice: AI Receptionist calls and outbound AI-powered phone calls may be recorded for quality assurance, service improvement, and business purposes. Subscribers are responsible for providing appropriate recording notices to Callers and Recipients.

Transcript Generation: We generate transcripts of conversations to support our Services' functionality and our Subscribers' business operations.

Caller and Recipient Consent: BY INTERACTING WITH AN AI RECEPTIONIST OR RESPONDING TO OUTBOUND AI-POWERED COMMUNICATIONS, CALLERS AND RECIPIENTS CONSENT TO REAL-TIME ACCESS TO THEIR INTERACTIONS BY KONNECTIFY AND OUR SERVICE PROVIDERS. If you do not consent, do not interact with the AI systems.

Data Usage: Deidentified data from recordings and transcripts may be used to improve our Services, train AI technology, and conduct analytics.

Website and Technical Information

We automatically collect technical information when you visit our Website or use our Services:

  • Device information (IP address, operating system, browser type, device ID)
  • Usage details (page views, session duration, feature interactions)
  • Cookies and tracking technologies for analytics and marketing purposes

Children's Privacy

The Services are designed for business use by adults, not children. We do not knowingly collect personal information from children under 16. 3. HOW WE USE PERSONAL INFORMATION

We use personal information for the following purposes:

  • Service Provision: To provide, maintain, and improve our AI Receptionist Services, Outbound Communications, Dashboard, and AI Insights.
  • Outbound Communication Delivery: To send SMS messages and place AI-powered phone calls to Recipients on behalf of our Subscribers, including processing responses and managing communication preferences.
  • Business Operations: To manage accounts, process payments, provide customer support, and conduct internal business operations.
  • AI Training and Development: To train and improve our AI technology using deidentified and aggregated data from all communications.
  • Analytics and Insights: To generate AI Insights, benchmarks, and industry analytics for our Subscribers.
  • Communications: To send service-related notifications, account updates, and (with consent) marketing communications.
  • Legal Compliance: To comply with applicable laws, regulations, and legal processes.
  • Security and Fraud Prevention: To protect our Services, prevent fraud, and ensure system security.
  • Data Commercialization: As disclosed in our Terms of Service, anonymized and aggregated data may be commercialized while protecting individual identities.

4. INFORMATION SHARING AND DISCLOSURE

Sharing with Subscribers

Personal information collected through AI Receptionist Services and Outbound Communications belongs to our Subscribers and is made available to them according to their own privacy practices. This includes all Caller and Recipient data, conversation records, and interaction analytics. Konnectify is not responsible for Subscribers' privacy practices.

Service Providers

We share personal information with third-party service providers who assist with:

  • Data storage and cloud computing services
  • SMS delivery and telecommunications services
  • AI-powered calling infrastructure and voice processing
  • Payment processing (we never store payment information)
  • Analytics and performance monitoring
  • Customer support and communications

All service providers are contractually required to maintain appropriate security and confidentiality standards.

Legal and Regulatory Disclosures

We may disclose personal information:

  • To comply with legal obligations, court orders, or government requests
  • To protect our rights, property, or safety, or that of our users
  • In connection with legal proceedings or investigations
  • To prevent fraud or illegal activities

Business Transfers

In the event of merger, acquisition, or sale of assets, personal information may be transferred as part of the business transaction. However, pursuant to our Terms of Service, successor entities do not assume our liabilities.

Anonymized and Aggregated Data

We may freely use and disclose anonymized and aggregated data that does not identify individuals. This includes data used for AI Insights, industry benchmarking, and potential commercialization.

WE DO NOT SELL PERSONAL INFORMATION FOR MONETARY CONSIDERATION.

5. DATA RETENTION

  • Subscriber Data: We retain Subscriber account information while accounts are active and for 30 days after subscription cancellation, unless longer retention is required by law.
  • Caller and Recipient Data: Personal information collected through AI Receptionist Services and Outbound Communications is retained according to Subscriber instructions and our contractual agreements with Subscribers.
  • Communication Records: SMS messages, call recordings, transcripts, and interaction data are retained for up to 12 months unless deleted by Subscribers or longer retention is required by law.
  • KPI and Analytics Retention: Upon account cancellation or termination, Konnectify may retain all KPIs, call analytics, performance metrics, and end analysis data derived from calls and communications processed through our Services indefinitely. This data is used for business intelligence, service improvement, benchmarking, and AI Insights development. Such retained data will be in anonymized or aggregated form that does not identify specific individuals.
  • Anonymized Data: Anonymized and aggregated data may be retained indefinitely for AI Insights, analytics, and potential commercialization.
  • Marketing Data: Information on marketing lists is retained until opt-out or when it no longer serves business purposes.

6. DATA SECURITY

Konnectify implements reasonable security measures to protect personal information, including:

  • Encryption of data in transit and at rest using industry-standard methods
  • Secure cloud infrastructure with AWS and other reputable providers
  • Secure telecommunications and SMS delivery infrastructure
  • Regular security audits and vulnerability assessments
  • Employee training on data security and confidentiality requirements
  • Incident response procedures for security breaches

However, no system is completely secure. We cannot guarantee absolute security of information transmitted over the internet.

7. YOUR PRIVACY RIGHTS AND CHOICES

For Callers and Recipients

Important: If you interacted with an AI Receptionist or received outbound communications (SMS or AI-powered calls), contact the Subscriber (the business that initiated the communication) to exercise privacy rights related to that interaction. The Subscriber is responsible for managing Caller and Recipient data and privacy requests.

Opt-Out: For outbound communications, you can opt out by replying "STOP" to SMS messages or requesting to be removed during AI-powered phone calls. We will honor opt-out requests and update our systems accordingly.

For Subscribers and Website Visitors

  • Account Access: Subscribers can access, correct, or update account information through the Dashboard or by contacting support@konnectify.com.
  • Marketing Communications: You can opt out of marketing emails using unsubscribe links or by contacting us. We will continue sending service-related communications.
  • Data Requests: You may request access to, correction of, or deletion of your personal information by contacting support@konnectify.com.

State-Specific Rights

  • California Residents: Under the CCPA/CPRA, you may have rights to know, access, delete, correct, and opt-out of sale/sharing of personal information.
  • Other States: Residents of Colorado, Connecticut, Virginia, Utah, and other states with privacy laws may have similar rights.
  • Canadian Residents: Under PIPEDA and provincial laws, you may have rights to access, correct, and request deletion of personal information.

Konnectify is a U.S. company operating primarily in the United States and Canada. The Services are not intended for use outside the United States and Canada.

If you access our Services from outside the U.S. or Canada, your information may be transferred to, processed, and stored in the United States, where privacy laws may differ from your home country. By using our Services, you consent to such transfers.

9. COOKIES AND TRACKING TECHNOLOGIES

We use cookies and similar technologies for:

  • Website functionality and user experience
  • Analytics to understand service usage
  • Marketing and advertising (with consent where required)

You can control cookies through your browser settings, though this may affect website functionality.

Do Not Track: Our systems do not currently respond to "Do Not Track" browser signals.

AI Insights Specific Disclosures

  • Data Usage: Personal information may be anonymized and aggregated for AI Insights analytics and benchmarking services.

  • No Guarantees: AI Insights are provided "as is" without warranty of accuracy or completeness.

Emergency Services Disclaimer

AI Receptionist Services cannot handle emergency calls. Do not use our Services for emergency situations requiring immediate assistance.

Payment Processing

Konnectify does not collect, store, or process payment information. All payments are processed by PCI-DSS compliant third-party processors subject to their own privacy policies.

This Privacy Policy is effective as of the date listed above and governs your use of our Services.
